Quote, plan the day, and prove every delivery.
- Quotations become bookings without re-typing — send an offer, the customer confirms, the job exists
- Drag bookings onto trucks; the system flags what will not fit before you commit
- Groupage, multi-drop and hub leg-splitting, each with its own paperwork
- Subcontract to carriers with matching and cost estimation, not a phone round
- Tolls across 20+ country regimes, distance and fuel costed before you quote
- Every truck and trailer with a known position on one live map
- Signed proof of delivery on the driver’s phone — sealed, hashed and timestamped
Stock figures you can actually promise against.
- A product catalogue, purchase orders and goods-in that lands on a real shelf
- On-hand per article and per warehouse, with every movement on an audit trail
- Reserved goods are held, so the same pallet is never promised twice
- Customer goods held in custody, with a sealed, barcoded goods receipt note
- Warehouse goods and workshop parts share one set of shelf figures
- Count in what you actually count in — pallets, kilos, litres or pieces
- Floor plans, zones and locations, so a pallet has an address and not a guess
Every vehicle roadworthy, and the paperwork to show it.
- Trucks, trailers and equipment with specs, documents and compliance dates
- Service plans on distance or on the calendar, preventive and corrective
- Work orders assigned to a mechanic or workshop, started, paused and closed
- Parts taken off the shelf as the work order uses them, with stock that follows
- Daily walk-around checks in the driver app open a defect when something fails
- A failed inspection grounds the vehicle, and a critical defect keeps it grounded
- An expired inspection or tachograph calibration stops a run, and so does ATP on a chilled load; insurance raises an alert
- Maintenance history per truck, trailer and piece of equipment
From the delivered job to the posted invoice.
- Services and price sheets, by weight, distance, time or geographic zone
- Invoice one booking, merge several, or bill a whole period or run in one pass
- Multi-currency with exchange rates, and one currency per invoice enforced
- Issued invoices are sealed; cancelling one raises a credit note
- Card payment by Stripe link, marked paid when the customer pays
- Overdue invoices flagged, with reminders to the customer if you switch them on
- Pro forma, packing list, certificate of origin and EAD from the same booking
- Invoices to Fortnox or Visma eAccounting, with payments coming back
The work around the work, on one board.
- A task board with your own columns — drag a card to move it, Done closes it
- An assignee, a due date and a priority on every task; overdue dates turn red
- Recurring tasks for the weekly checks, on chosen weekdays or skipping weekends
- Checklists, comments and attachments on the task itself
- Tasks tied to a vehicle or a piece of equipment
- A failed inspection or an incident becomes a task, not an inbox thread
- A documents drive with folders, uploads and sharing — or your own Nextcloud
The system says no before the mistake costs you.
- Routes judged against real limits — driver hours, vehicle class, delivery windows
- Dangerous goods that must not ride together are flagged, judged on what is aboard at the same time
- A formal route risk assessment over route, vehicle, driver and conditions
- Zones, hubs, depots and terminals; rest areas and secure parking along the route
- A weather overlay for planning around severe conditions
- A dispatch board and a planning sheet for the shapes each planner prefers
- One set of numbers the whole office reads from, updated as the day happens
- The right person is told — in the app, by push or by email, and nobody else is pinged
Connected to the services you already pay for.
- Fortnox and Visma eAccounting — invoices out, payments back
- Stripe — card payment links on any invoice
- Traccar — GPS positions from Teltonika and other compatible trackers
- HERE — maps, truck routing and toll estimation
- Nextcloud — documents in a cloud of your own, with single sign-on
- A REST API with scoped keys for bookings, organizations, tracking and documents
- Webhooks, rate limits and an audit trail on every call
Built for your operation
Whatever you move, Navichain adapts to how you work.
Hauliers & carriers
Everything that decides whether the truck rolls legally, and whether you get paid for it.
You own the trucks and employ the drivers. The day is won or lost on planning and compliance.
Freight forwarders & 3PL
Sell the load, place it with the right carrier, and let each customer watch their own half of it.
You sell transport you do not always drive, for customers who each want their own view of it.
Warehousing & distribution
Know what is on the shelf, whose it is, and what leaves on which vehicle.
You hold goods — yours or somebody else’s — and answer for every pallet while you have it.
Warehouse →Shippers & manufacturers
One record of the goods, whether your own truck moves them or somebody else’s does.
You move your own goods, on your own fleet, bought-in transport, or both.
Built to the rulebook, not around it
European road transport is governed by rules that decide whether a run is legal before it is profitable. navichain checks each one at the moment it applies, and is plain about how hard: a few refuse the run outright, most flag it for the planner, and the rest are kept on record with a warning before they lapse.
Before the wheels turn
The run is refused- Directive 2014/45/EUA truck past its periodic inspection date cannot be confirmed or started.
- Regulation 165/2014Nor can one whose tachograph calibration has lapsed.
- ATP AgreementAn expired ATP certificate refuses a chilled or frozen load — on the truck or on the trailer.
- Directive 2014/47/EUA failed critical item on the driver’s daily check grounds the truck until someone signs it back into service.
When you assign a driver
Flagged on the run- Regulation 561/2006 · AETRDriving, break and rest limits, counted across the driver’s other runs that week.
- Driver CPC · ADR · GDPLicence class matched to the vehicle and each certificate checked for the run dates — a warning, or a refusal for any certificate type you set to block.
When you load and route
Flagged on the run- ADR 7.5.2Dangerous goods that must not ride together are flagged, judged on what is aboard at the same time — explosives with anything else as an error.
- Directive 96/53/ECWeights, dimensions and axle loads against each country’s limits, Nordic long vehicles included.
- Driving bansWeekend, holiday and night bans by country, with their public-holiday calendars.
- Low emission zones · Reg. 540/2014City access by Euro class, and night-time delivery windows in residential areas.
- EN 12195-1The lashing force the load needs, from its weight and the friction under it.
Across borders
Flagged, papers drawn up- Regulation 1072/2009 · Mobility Package IA fourth cabotage trip, or one inside the four-day cooling-off, is an error on the run and an alert to the planner.
- Border & customs documentsThe papers each border, customs or ferry stop needs — T1/T2, EUR.1/ATR, TIR, phytosanitary — with the missing ones flagged.
- CMR ConventionA consignment note per delivery, sealed once and verifiable by QR code.
- Directive 92/106/EECA combined-transport run is marked as one, so its road leg is not counted as cabotage.
On the record
Tracked, with a warning- Directive 2009/103/ECInsurance and Green Card expiry, warned about before it lapses.
- Directive 2002/85/ECSpeed-limiter setting and calibration date on every truck.
- Mobility Package IWhen each driver last went home and each vehicle last returned to base.
- GDPRDriver consent, retention periods and when a record may be deleted.
The in-app documentation names the screen each rule is checked on and what it does there, rule by rule.
And the surfaces around it
The sections above are where the office works. These are where drivers, customers and administrators meet the same data.
The driver app
navichain 365 on iOS and Android — the cab half of the system, included on every plan.
- Today’s stops, navigation and one-tap status updates
- Signatures, photos and failed-delivery reasons captured on the spot
- Daily walk-around checks that open a defect when something fails
- Barcode scanning, shared documents and per-stop cargo manifests
- Dangerous-goods particulars scoped to the stop the driver is at
Digital CMR
The consignment note as a document you can defend, not a form you print.
- Issued to the CMR Convention (Geneva 1956)
- Sealed once: the PDF is hashed and timestamped, and reprints serve the sealed copy
- A QR code resolves to a verification page for whoever is holding the paper
- A multi-drop booking produces one note per delivery, each naming its own consignee
- Re-issue supersedes leg by leg, and the superseded note stays on the record
Customer portal
Your customers serve themselves instead of emailing your dispatchers.
- They book and track their own shipments, on web or in the app
- Documents, proof of delivery and invoices, self-serve
- Goods you hold in custody for them, visible to them and nobody else
- Shipment notifications in their own portal, scoped to their organization
- API keys so larger customers integrate directly
Access & tenancy
Multi-tenant by design, which is why the boundaries are explicit.
- An isolated per-tenant database, within the EU
- Roles and claim-based permissions, per user and per department
- Two-factor authentication for administrators
- A field-level audit trail on the records that matter
